1. Booking and Payment
1.1 Tour Packages: All tourists must book their trips through a licensed Bhutanese tour operator or their international partners. Independent travel is not permitted. 1.2 Advance Payment: Full payment for the tour must be made in advance. This includes the Sustainable Development Fee (SDF), visa fees, accommodation, meals, transportation, and guided tours. 1.3 Payment Method: Payments should be made via wire transfer to the tour operator’s bank account in Bhutan.
2. Visa and Travel Requirements
2.1 Visa Application: Tour operators will process the visa on behalf of tourists. A copy of the passport (valid for at least six months) must be submitted along with the tour booking. 2.2 Visa Approval: Visas are issued by the Department of Immigration and will be approved only upon receipt of full payment for the tour package. 2.3 Entry Permit: The visa will be stamped on arrival at the point of entry in Bhutan.
3. Sustainable Development Fee (SDF)
3.1 Fee Structure: Tourists must pay an SDF of USD 200 per person per night. This fee contributes to Bhutan’s free healthcare, education, and environmental conservation. 3.2 Inclusions: The SDF covers accommodation, meals, a licensed guide, internal transport, and entrance fees to attractions.
4. Cancellation and Refund Policy
4.1 Cancellation Charges:
- More than 30 days before arrival: No charge
- 21-30 days before arrival: 10% of the tour cost
- 14-20 days before arrival: 15% of the tour cost
- 7-13 days before arrival: 30% of the tour cost
- Less than 7 days before arrival: 50% of the tour cost
- After arrival or no-show: 100% of the tour cost 4.2 Refund Process: Refunds will be processed within 30 days of receiving the cancellation request, minus applicable cancellation charges.
5. Travel Insurance
5.1 Mandatory Insurance: Tourists are required to have comprehensive travel insurance covering medical expenses, trip cancellations, lost luggage, and other potential travel risks.
6. Conduct and Behavior
6.1 Respect for Culture: Tourists must respect Bhutanese customs, traditions, and religious practices. Appropriate attire is required when visiting religious sites. 6.2 Environmental Responsibility: Visitors should follow eco-friendly practices, such as minimizing waste, avoiding plastic, and respecting wildlife and natural habitats. 6.3 Prohibited Activities: The following activities are prohibited:
- Engaging in political activities
- Disrespecting local customs and laws
- Damaging cultural sites and natural environments
7. Health and Safety
7.1 Health Precautions: Tourists should ensure they are in good health and physically fit for the activities planned. Necessary vaccinations and medications should be taken before travel. 7.2 Emergency Protocols: Tour operators will provide information on emergency contacts and protocols. In case of emergencies, follow the guidance of your tour guide and local authorities.
8. Modification of Itinerary
8.1 Changes by Tour Operator: The tour operator reserves the right to modify the itinerary due to unforeseen circumstances such as weather conditions, road closures, or safety concerns. 8.2 Changes by Tourist: Requests for changes in the itinerary by tourists will be accommodated subject to availability and additional costs.
9. Liability
9.1 Tour Operator Liability: The tour operator is responsible for providing the services included in the tour package but is not liable for any injury, loss, damage, delay, or inconvenience caused by circumstances beyond their control. 9.2 Tourist Responsibility: Tourists are responsible for their personal belongings and must comply with all terms and conditions.
